Terms of Use

Version 1.0 · Effective August 28, 2026 · Last updated August 28, 2026

TrackStudents is an educational classroom documentation and management tool that helps educators and administrators document student performance and classroom activity. These Terms of Use explain what TrackStudents is for, what you are responsible for, and the rules that apply to your account.

1. Eligibility

Anyone age 18 or older may create a TrackStudents account. Accounts are intended for educators, administrators, and other authorized school personnel.

TrackStudents does not currently provide student or parent user accounts. Students and parents do not sign in. Any future student or parent features would be introduced separately and are not implied by these Terms.

2. Intended use

TrackStudents is designed for educational professionals and organizations to document and manage classroom information. Student information entered into TrackStudents should be limited to what its classroom functions require:

  • Student name
  • Classroom or course
  • Grades and performance documentation
  • Redirections
  • Positive recognition
  • Safety and behavior documentation
  • Teacher or administrator notes related to classroom performance
  • Out-of-class and hall pass activity, including duration

3. Information that must not be entered

TrackStudents is not built to store highly sensitive information, and you must not intentionally enter it. This includes:

  • Social Security numbers
  • Financial or account information
  • Student passwords
  • Home addresses, unless a future approved feature specifically requires them
  • Medical records
  • Detailed counseling or therapy records
  • Government identification numbers
  • Other highly sensitive information unrelated to TrackStudents' intended classroom functions

4. No student photographs

TrackStudents does not support or request student photographs. Do not upload or store student photographs in TrackStudents.

5. School authorization

You are responsible for obtaining any approval required by your school, district, employer, or organization before entering student information into TrackStudents.

To help with that review, TrackStudents provides a FERPA & Data Privacy Overview and an optional Administrator Review & Approval Form in Settings under School & FERPA Resources.

6. Your responsibility

TrackStudents is a documentation and classroom-management tool. Teachers, administrators, and other authorized users remain responsible for:

  • Grading decisions
  • Disciplinary decisions
  • Safety decisions
  • Student supervision
  • Accuracy of the information entered
  • Following school and district policies
  • Determining who should receive access
  • Compliance with applicable education and privacy requirements

7. Account security

Accounts and passwords must not be shared. Teachers, administrators, support staff, and other authorized users should each have their own account and receive access through the normal TrackStudents workspace and classroom permission system.

Notify TrackStudents through Help & Support if you reasonably believe your account or student information has been accessed without authorization.

8. Data ownership

TrackStudents does not claim ownership of the student and classroom records you enter. The applicable teacher, administrator, school, district, or organization retains its rights to that data.

TrackStudents receives only the rights necessary to host, process, secure, maintain, and provide the service.

Authorized teachers and administrators may export the records they are permitted to access at any time from Settings, and may request deletion, subject to permissions and applicable legal requirements.

9. Retention and deletion

Archiving a school year or classroom hides it from day-to-day screens while keeping the records readable and exportable. Archiving is not deletion.

Deletion in TrackStudents is deliberate and immediate: when an authorized user deletes qualifying classroom or account data, it is removed from active TrackStudents systems at that time and is not recoverable through the application. Export your data before deleting it.

Deleted content may persist for a limited period in routine encrypted infrastructure backups until those backups age out, and may be retained where a legal obligation requires it.

10. Administrative access

Workspace and school administrators may access information according to the permissions granted within their own organization.

TrackStudents platform personnel may have limited administrative access when reasonably necessary for technical support, troubleshooting, security, preventing abuse, maintaining the service, or responding to lawful obligations.

11. Suspension and termination

TrackStudents may restrict or terminate accounts for misuse, illegal activity, attempts to access classrooms or data without authorization, security attacks, abuse, deliberate policy violations, or other violations of these Terms.

12. Service limitations

TrackStudents is not guaranteed to operate continuously without interruption or error. Do not rely on TrackStudents as the only copy of records your school or the law requires to be maintained elsewhere.

TrackStudents does not replace your school's official Student Information System or other required official recordkeeping system unless your organization independently determines otherwise.

13. Safety

TrackStudents is not:

  • An emergency notification system
  • A medical system
  • A real-time student location system
  • A life-safety system
  • A substitute for physical student supervision

14. Changes to these Terms

TrackStudents may update these Terms. Each version carries a version number and effective date. When an update is substantive, TrackStudents may ask you to review and accept the current version before continuing to use the application.

Questions about these documents can be sent through Help & Support inside TrackStudents.
