FERPA & Data Privacy Overview

Version 1.0 · Effective August 28, 2026 · Last updated August 28, 2026

TrackStudents is designed to support FERPA-compliant use by schools and educators. FERPA compliance depends on both the safeguards provided by a service and how a school or educational organization authorizes, configures, and uses that service.

Data minimization

TrackStudents intentionally limits student information to what its classroom functions require: student name, classroom enrollment, grades and grading events, redirections, positive recognition, safety and behavior documentation, classroom notes, and hall pass activity.

TrackStudents does not request Social Security numbers, financial information, medical or counseling records, government identification numbers, or student photographs, and instructs users not to enter them. It is not intended to serve as a general-purpose student records database or a replacement for a Student Information System.

Access controls

Every account belongs to its own workspace. Classroom access is granted only through an invitation that the recipient accepts, and permissions are enforced in the database with row-level security rather than only in the interface.

Schools and educators should grant classroom access only to individuals authorized to view that classroom's student information, and should remove access when someone no longer needs it.

School decision-making

TrackStudents does not hold, and does not claim, any government FERPA certification. Schools and districts should independently determine whether TrackStudents meets their local privacy, technology, FERPA, and procurement requirements before it is used with student information.

The optional Administrator Review & Approval Form in Settings under School & FERPA Resources summarizes this information for that review.
