Administrator Review & Approval Form
Terms v1.0 · Privacy v1.0
Effective August 28, 2026
TrackStudents.org
Some schools or districts require approval before educators use third-party educational software. This optional form gives an administrator a concise overview of TrackStudents, its intended use, student data practices, and privacy safeguards.
What TrackStudents is
TrackStudents is a classroom documentation and management tool for educators. Teachers and administrators use it to record daily performance, redirections, positive recognition, safety and behavior documentation, classroom notes, and hall pass activity, and to produce parent-ready reports. Students and parents do not have accounts and do not sign in.
Intended classroom use
- Daily grading and performance documentation for enrolled students
- Documenting redirections, positive recognition, and safety or behavior incidents
- Classroom notes tied to performance documentation
- Kiosk hall passes recording destination, time out, time in, and duration
- Printable student performance reports for families and conferences
Information TrackStudents stores
- Student first and last name and classroom enrollment
- Daily grades, grading events, and manual grade adjustments
- Redirections, positive recognition, and safety or behavior documentation
- Teacher and administrator notes about classroom performance
- Hall pass activity with timestamps and duration
- Staff account details: name, email, role, workspace and classroom membership
Information TrackStudents does not intend to collect
- Student photographs — not supported, not requested, and not to be uploaded
- Social Security numbers or government identification numbers
- Financial or account information
- Student passwords
- Home addresses
- Medical records or detailed counseling and therapy records
TrackStudents is not intended as a general-purpose student records database and does not replace a school's official Student Information System.
Accounts, access, and permissions
- Every account is 18+ and belongs to an educator, administrator, or authorized school staff member; accounts and passwords must not be shared.
- Each account has its own workspace. Access to another educator's classroom happens only through an invitation that the recipient accepts.
- Teachers and support staff see only classrooms they own or have joined; workspace administrators see their own workspace.
- Permissions are enforced in the database with row-level security, not only in the interface, so workspaces stay isolated.
- Sensitive actions — role changes, deletions, exports, corrections — are written to append-only audit logs.
Data ownership, export, and deletion
- The teacher, administrator, school, district, or organization retains its rights to the records entered. TrackStudents does not claim ownership.
- Authorized users can export the records they are permitted to access at any time as CSV; administrators can export a full workspace archive.
- Archiving a school year or classroom hides it from daily screens while keeping records readable and exportable.
- Deletion by an authorized user is immediate and permanent in the application, so data should be exported first. Deleted content may persist briefly in routine encrypted infrastructure backups until they age out, or where legally required.
- Classroom history is preserved when a staff account is removed, so past documentation still resolves to a readable name.
Privacy commitments
- Student information is not sold.
- Student information is not used for targeted advertising.
- Student information is not used to train artificial intelligence or machine-learning models.
- Student photographs are not requested or intentionally collected.
Security and infrastructure overview
TrackStudents runs on managed cloud infrastructure. Traffic is encrypted in transit (HTTPS/TLS) and stored on managed, encrypted database and file storage services with continuous write-ahead logging and regular backups. Access rules are enforced at the database layer; privileged operations are limited to verified platform administration. TrackStudents does not claim any security certification or audit accreditation, and no service can guarantee absolute security.
FERPA positioning
TrackStudents is designed to support FERPA-compliant use by schools and educators. FERPA compliance depends on both the safeguards a service provides and how a school authorizes, configures, and uses that service. TrackStudents does not hold, and does not claim, any government FERPA certification.
Responsibilities
The school or educator is responsible for authorizing use, deciding who receives classroom access, the accuracy of information entered, grading, discipline, safety and supervision decisions, and compliance with local policies and applicable law.
TrackStudents is responsible for providing and maintaining the service, enforcing the access controls described above, keeping the documentation in this form accurate, supporting data export, and honoring the privacy commitments listed here.
Administrator review and approval
By signing below, the administrator acknowledges that they have reviewed the information provided in this document and approve the educator named below to use TrackStudents within their school or organization. This signature is a local approval of use — it is not a certification that TrackStudents is FERPA compliant.
